What Happens If Best Party Hire Needs to Cancel?

At Best Party Hire, safety is always our top priority. In rare situations, we may need to cancel a booking due to weather conditions or safety concerns.

When Might We Cancel a Booking?

We may need to cancel if conditions make it unsafe to set up or use the equipment. This can include:

  • High winds exceeding safe operating limits

  • Severe weather, such as heavy or persistent rain

  • Unsafe ground conditions (waterlogged, unstable, or uneven surfaces)

  • Access or safety issues that prevent safe setup

These decisions are never taken lightly and are made to protect:

  • Children and guests

  • You as the hirer

  • Our equipment and staff


Who Makes the Decision?

The final decision on safety rests with Best Party Hire.

This is because:

  • We are responsible for safe installation

  • We must follow manufacturer and insurance guidance

  • We have a legal duty of care

Where possible, we will:

  • Monitor forecasts in advance

  • Communicate with you before the event

  • Make decisions as early as conditions allow


What Happens If We Cancel?

If we cancel your booking due to weather or safety:

✔️ You Will Not Be Penalised

  • The Admin Fee will be refunded, or

  • Transferred to a rescheduled date, if you prefer

✔️ Your Options Will Be:

  • Reschedule to a new available date, or

  • Receive a refund in line with this policy

We’ll always discuss the options with you and aim to be fair and reasonable.


Can We Switch to an Indoor Setup?

In some cases, if you have access to a suitable indoor venue, we may be able to:

  • Move the booking indoors

  • Swap equipment for a suitable indoor option

This depends on:

  • Ceiling height

  • Access

  • Equipment availability

Please contact us as early as possible if this may be an option.


What If the Weather Is Uncertain?

We understand that weather forecasts can change.

If conditions are borderline:

  • We may wait until closer to the event

  • We’ll keep communication open

  • We’ll prioritise safety over convenience

We will never cancel unnecessarily, but we will not set up equipment if it cannot be done safely.

This policy allows us to:

  • Operate safely and responsibly

  • Comply with insurance and safety requirements

  • Avoid putting guests or equipment at risk

It also gives you clarity and reassurance if circumstances are outside anyone’s control.
