At Best Party Hire, we understand that plans can change. This page explains how to cancel a booking, how much notice is required, and what refunds apply.


How to Cancel a Booking

If you need to cancel your booking, please contact us by email as soon as possible.

When cancelling, please include:

  • The booking name

  • Event date

  • Brief reason for cancellation (optional)

Cancellations must be made in writing so there is a clear record of notice given.


Important: Admin / Booking Fee

The Admin (Booking) Fee (£25) is non-refundable in all circumstances.

This fee covers:

  • Booking administration

  • Scheduling and logistics

  • Payment processing

  • Pre-event planning

This work begins immediately once a booking is made.


Cancellation Fees & Refunds

Refunds (excluding the Admin Fee) depend on how much notice is given and the type of booking.


Private & School Bookings

This applies to:

  • Private parties

  • Home bookings

  • School and nursery bookings

Refund Structure

  • 14 days or more notice
    100% refund of the balance paid
    (Admin Fee deducted)

  • 7–14 days notice
    50% refund of the balance paid
    (Admin Fee deducted)

  • Less than 7 days notice
    No refund
    → Any outstanding balance remains due in full


Business, Organisation & Charity Bookings

This applies to:

  • Businesses

  • Organisations

  • Charities

  • Corporate or public events

Refund Structure

  • 28 days or more notice
    100% refund of the balance paid
    (Admin Fee deducted)

  • Less than 28 days notice
    No refund
    → Any outstanding balance remains due in full

These bookings require longer notice due to planning, scheduling, and equipment allocation.


Outstanding Balances

Where a booking is cancelled within a non-refundable period, any unpaid balance will still be due in full.

This reflects the fact that:

  • The date has been reserved

  • Equipment has been allocated

  • Other bookings may have been declined


Changes Instead of Cancellation

If you need to change your booking rather than cancel:

  • Please contact us as soon as possible

  • Changes are subject to availability

  • The Admin Fee is not transferable if a booking is cancelled entirely

Where possible, we will always try to help with reasonable changes.


Cancellations by Us

In rare circumstances, we may need to cancel a booking due to:

  • Unsafe weather conditions

  • Safety concerns

  • Events beyond our control

If this happens, we will discuss suitable options, which may include:

  • Rescheduling

  • A refund in line with this policy

  • Keep pricing consistent for all customers

It also ensures transparency, so you always know where you stand.
