Best Party Hire – Terms & Conditions of Business

At Best Party Hire, your safety, satisfaction, and peace of mind are our top priorities. These Terms and Conditions apply to all hires, services, and purchases made with us. By booking, you confirm acceptance of the following:


1. Definitions

“Best Party Hire” – Our company supplying equipment, goods, and services.
“Hirer” / “you” – The person, organisation, or company hiring the equipment.
“Equipment” – All items provided for hire, including inflatables, soft play, garden games, and accessories.
“Admin Fee” – A non-refundable payment of £25 securing your booking.
“Balance Due” – The remaining booking amount payable after the Admin Fee.
“Contract” – The legally binding agreement between Best Party Hire and the Hirer.

This contract is governed by the laws of England and Wales. If any term is held invalid, the remaining terms remain effective.


2. General Terms

The contract becomes effective upon written booking confirmation from Best Party Hire.

All equipment remains the property of Best Party Hire at all times.

Bookings are non-transferable without prior written consent.

We may amend these terms from time to time for legal, safety, or business reasons.

Best Party Hire reserves the right to terminate the contract and repossess equipment if the Hirer:

  • Breaches these Terms
  • Fails to follow provided safety instructions
  • Becomes insolvent or unable to meet contractual obligations

3. Hire Charges & Payments

a. Pricing

All standard prices include delivery, safe setup, and collection, unless otherwise stated.

Extra fees may apply for:

  • Waiting time at delivery/collection
  • Unsuitable access (stairs, narrow routes, distances over 50 m, gravel, slopes, etc.)
  • Last-minute changes to location, time, or date without agreement

b. Payments

Admin Fee: £25, payable within 48 hours of booking to secure your date and equipment. The Admin Fee is non-refundable.

Balance Due: Payable in full 14 days before the hire date. If not received within 48 hours of reminder, the booking may be cancelled.


c. Loss & Damage Charges

Lost, stolen, or damaged items must be paid for at full replacement cost.

Equipment not available for pickup incurs £25 per day plus the daily hire rate until recovered.


4. Cancellations & Refunds

a. Cancellations by Hirer

Must be confirmed in writing by email.

Refunds apply to the balance (not the Admin Fee) as follows:

  • 14+ days before event: 100% refund
  • 8–13 days before event: 50% refund
  • 7 days or fewer: No refund

b. Cancellations by Best Party Hire

If unforeseen circumstances (severe weather, illness, vehicle breakdown, traffic accidents, etc.) prevent fulfilment, we will offer a reschedule or full refund of all payments.

Liability is limited strictly to the amount paid – we are not responsible for indirect or consequential loss (e.g. venue costs, catering, entertainers).

We reserve the right to cancel hires for a few reasons including:

Hight wind speed (Gusts over 24mph)

Hot weather (Over 40C)

Unlevel ground.


5. Hirer Responsibilities

a. Supervision

A responsible adult (18+) must supervise equipment at all times.
Inflatables and soft play must never be left unattended.


b. Space & Access

The Hirer must ensure the space is suitable (flat, clear, safe surface) and that equipment fits the area.
Indoor hires require adequate ceiling height and access through doorways.

Suitable power must be available within 50 metres at all times.

Failure to provide suitable space will be treated as a same-day cancellation with no refund.


c. Use & Safety Rules

No shoes, jewellery, glasses, or sharp objects on equipment.
No food, drink, party poppers, silly string, henna, or face paint near inflatables/soft play.
Children must be separated into appropriate age/size groups.
No overcrowding, climbing on walls, or rough play permitted.
Inflatables must not be moved once installed.
No water on equipment unless supplied as a water inflatable by Best Party Hire.


d. Face Painting, Glitter, and Staining Products

Face painting, glitter, coloured hairspray, or similar staining products are strictly prohibited on or near any inflatable, soft play, or equipment supplied by Best Party Hire.

If such materials are used — whether by the Hirer, guests, or third-party entertainers — the Hirer accepts full responsibility for any resulting cleaning, repair, or replacement costs.

Best Party Hire reserves the right to:

  • Refuse setup
  • Charge a fee of £500 plus the cost of a replacement
  • Immediately remove and collect equipment

No refunds or credits will be given in such cases.

Any damage or disruption caused by third parties remains the Hirer’s responsibility.


e. Weather

Equipment must not be used in:

  • Winds over 24 mph
  • Heavy rain
  • Thunderstorms

The Hirer must switch off blowers and cover units if instructed.


f. Security, Overnight Hire & Damage

The Hirer is fully responsible for equipment from delivery until collection.

This includes all overnight hire periods.

Overnight hire must be agreed in advance and is subject to approval.

All overnight hires must be available for collection by 10:00am the following day.
Failure to allow collection by 10:00am may result in the hire being charged as an additional full-day hire.

During overnight hire:

  • Automatic lawn mowers must be turned off and prevented from operating near the equipment.
  • Equipment should be kept in a secure, enclosed area where possible.
  • Equipment must not be used overnight.

The Hirer remains fully responsible for any damage, loss, or interference during the hire period, including overnight.

This includes damage caused by animals, whether domesticated or not.

Any misuse, damage, loss, or theft is the responsibility of the Hirer.


6. Best Party Hire Responsibilities

Deliver equipment in a clean, safe, and tested condition.
Anchor inflatables in accordance with BS EN 14960 safety standards and PIPA testing requirements.
Provide safety mats where required.
Provide clear safety and operating instructions.
Aim to deliver and collect equipment on time.


Limitation of Liability

Best Party Hire is not liable for:

  • Injuries caused by misuse or failure to supervise
  • Venue unsuitability or restricted access
  • Delays or cancellations beyond our control

Maximum liability is limited to the total hire fee paid.


7. Emergencies & Injuries

Keep blower vents clear and dry.

In case of blower failure: switch off, wait 1–2 minutes, then restart. If the problem persists, contact us immediately.

All injuries requiring medical attention must be reported within 2 hours, with a written statement provided.


8. Data, Photography & Marketing

If you give permission for video use, faces will be blurred unless written consent is provided.

We take setup photos for safety records and marketing; no people are included.

Best Party Hire complies with UK data protection laws regarding personal data.


9. Insurance & Indemnity

Best Party Hire carries public liability insurance up to £5 million.

This covers equipment setup and faults but does not cover injury or damage caused by misuse or lack of supervision.

The Hirer agrees to indemnify Best Party Hire against any claims arising from misuse or failure to follow instructions.
