How Booking Works – Step by Step

Booking with Best Party Hire is designed to be simple and stress-free. Here’s exactly how it works, from planning to party day.


Step 1: Book Your Venue (if needed)

If your party is taking place in a village hall or venue, we recommend booking this first and confirming:

  • The date

  • The start and finish times

  • Any venue restrictions (ceiling height, access, power)

If your party is at home, this step is nice and easy — just choose your date.


Step 2: Choose Your Equipment

Browse our website and decide which bouncy castle or party equipment you’d like to hire.

When you’re ready, start the booking using the “Book Online” button on your main item. Additional items can be added during the booking process.


Step 3: Select Your Date

During booking, you’ll be asked to select your event date.

If your chosen equipment is available on that date — great! You can continue with the booking.
If it’s unavailable, you’ll be able to choose an alternative.


Step 4: Enter Your Party or Event Location

Next, you’ll be asked to enter the event address, whether that’s:

  • A home address, or

  • A venue / village hall

This helps us plan delivery, access, and setup correctly.


Step 5: Enter the Relevant Details

You’ll then provide the key information we need, such as:

  • Event times

  • Indoor or outdoor setup

  • Contact details

Please ensure these details are accurate, as they’re used to plan your delivery and setup.


Step 6: Pay the Admin Fee

To secure your booking, an Admin Fee of £25 is required.

Once this is paid:

  • Your booking is held

  • We move on to checking the details

At this stage, your booking is pending confirmation.


Step 7: Booking Confirmation

We’ll review your booking details to make sure everything is suitable and safe.

Once checked, we’ll:

  • Confirm your booking

  • Send confirmation by email

At this point, your date and equipment are fully secured.


Step 8: Final Balance Payment

The remaining balance is due 14 days before your event date.

This allows us to finalise:

  • Scheduling

  • Equipment preparation

  • Logistics

Payment reminders are sent to help keep everything on track.


Step 9: Delivery, Setup & Party Time 🎉

On the day of your event:

  • We arrive at the agreed time window

  • Set up the equipment safely (usually around 30 minutes)

  • Provide clear safety instructions

Once setup is complete, it’s time to enjoy the party.


Step 10: Collection & Pack Down

At the end of the hire period, we’ll return on time to:

  • Check the inflatable or equipment

  • Safely pack everything away (again, usually around 30 minutes)

You don’t need to do anything — we take care of it.


Step 11: Thank You

After your event, we may contact you to:

  • Thank you for booking

  • Request feedback

Helpful Notes

  • A booking is only confirmed once the Admin Fee has been paid and details have been checked

  • Final payment must be completed on time to avoid delays or cancellation
